(1) Confirm the receiving date: according to the receiving date of the document, indicate the receiving date of the accepting department on the document to record the date when the accepting department receives the application document.
(2) Check the number of documents: count the number of all documents, check the names and quantities of the application documents and other documents specified in the request, and record the verification. For an application for a patent for invention involving nucleotide or amino acid sequences, it shall also be verified whether a computer-readable copy, such as a CD or floppy disk, containing the corresponding sequence table has been submitted.
(3) Determining the date of application: for patent applications submitted directly to the reception office of the Patent Office or the window of the agency, the date of receipt shall be the date of application; For a patent application submitted to the acceptance office or agency of the Patent Office by mail, the postmark date on the mailing envelope shall be the application date; If the postmark date sent is unclear and illegible, the date of receipt by the patent office or agency shall be taken as the application date and filed in envelope form. An application for a patent submitted to the receiving office or agency of the Patent Office through a courier company shall be filed on the date of receipt. Where a patent application is mailed or submitted to a non-accepting department or individual of the Patent Office, the mailing date or filing date shall not have the effect of determining the application date. Where a patent application is forwarded to the acceptance office or agency of the Patent Office, the actual date of receipt by the acceptance office or agency shall be the date of filing. The filing date of the original application is the filing date of the divisional application, and the filing date of the divisional application shall be recorded in the request.
(4) Give the application number: according to the category and the sequence of patent applications, give the corresponding patent application number and paste it on the request and folder.
(5) Record the number of registered mails: for patent applications submitted by registered mail through the post office, record the registered number of mailed documents on the request.
(6) Review the request for fee waiver: according to the patent fee waiver method, review the request for fee waiver submitted at the same time as the patent application, make a decision on the approval of fee waiver, and indicate the corresponding mark on the request.
(7) Collecting and verifying data: according to the contents of the request, collect and verify data, print out a data collation sheet, and correct the wrongly recorded data.
(8) Notice: Send the applicant a notice of acceptance of the patent application, a notice of payment of the application fee or a notice of examination and approval of fee reduction. The notification of acceptance of a patent application shall at least indicate the application number, application date, applicant's name and document verification, affix the seal of the Patent Office's acceptance office or agency, and have the examiner's signature and publication date.
The notice of payment of the application fee shall specify the application fee, application surcharge and other fees payable at the time of application, as well as the payment deadline; Meanwhile, write down the payment instructions. The notice of examination and approval for deferred payment shall include the proportion of deferred payment, the amount to be paid, the payment period and relevant payment instructions. (9) Scanning documents: scanning the patent application documents that meet the acceptance conditions and storing them in the database. Electronic scanning includes application documents and other documents submitted at the time of application. In addition, the electronic data of all kinds of notices issued by the Patent Office (such as notification of accepting patent applications, notification of paying application fees or notification of approving fee reduction) should also be kept in the database.
