What about the law firm files?

Colleagues who have worked in the law firm know that filing is a necessary condition for entering the law firm, especially paralegals and trainee lawyers. Although archiving is a small matter, there are many doorways here, and archiving can let us learn a lot. Not much else to say, but I'll begin to explain to you how to organize the documents. Take a complete file as an example.

First of all, archives are divided into essential materials and non-essential materials. The necessary materials are divided into business file approval form, volume catalogue, closing filing lawyer's statement, closing filing quality inspection statement, closing filing approval form, agency agreement, power of attorney, charging voucher (copy of invoice), lawyer's work record, closing certificate and closing report. The above materials are placed in order and are indispensable. Of course, many law firms don't have such complete materials, but the bold part above is the necessary material for the file. Unnecessary materials are some evidence materials, legal documents, etc.

Second, the original evidence materials in the file need to be taken out and copied, and the file is bound by using the copy, because sometimes many parties will take the original evidence back to avoid unnecessary trouble, so they use the copy when binding.

Third, the order of the middle part, that is, the evidence material part, can generally be sorted in logical order. If there is only the first instance, it can be arranged in the order of the progress of the case procedure. If there is a second trial or retrial, it shall be arranged in the order of first trial, second trial and retrial. For example, the cases of first instance can be arranged in the following order: indictment, application for change of litigation request, court receipt, summons, acknowledgement of service, notice of payment of legal fees and other court procedural documents, client's identity certificate (natural person, legal person), evidence materials, proxy words, defense, court documents (judgment, ruling, mediation, execution, etc. , can be placed in order). Of course, there are other documents that have not been arranged, and we can adjust them according to the sequence of procedures. This part of the material needs to be placed after the fee voucher and before the lawyer's work record.

Fourthly, if there are multiple copies of some materials, we can take them out, which will make the documents more concise.
