I have just joined the work for a few years and work in a school. Because I am a young man, I have been in charge of enrollment adjustment for two consecutive years. I have to say that this is a very tedious and hard work. However, I also experienced a volunteer failure when I took the postgraduate entrance examination-> Transmission failed-> Adjust the successful courses so that I can understand the students' feelings outside, and I will try my best to help contact my students. However, some problems found in my work make me feel it necessary to find a place to talk with the students.
1. The first question is politeness.
Every time I answer the phone, I will say: Hello! But many students picked up the phone and came up and asked, Teacher, I want to ask how you are getting along here. Some students even said on the phone: "A school like you should be easy to transfer." Although the school where I work is not a good school (good schools don't need to transfer students, and the volunteers are full), it will still be uncomfortable to meet such students. I am here as the starting point for the first successful adjustment. If I have a bad impression here and lose directly at the starting line, my chances of success will definitely decrease. In addition, I think politeness is the embodiment of one's self-cultivation.
2. Mail problems
(1) Many schools should, like our school, require candidates to send the transfer application form to the designated mailbox. However, many candidates (about half of the candidates contacted by email) don't write a word in the text when sending emails. The subject of the email is generally: transfer application or transfer application. There are attachments in the mail, or even no attachments (probably a network failure). In the morning, I asked a candidate on the phone, "Why don't you write a word in the body of the email?" The student replied, "All my information is in the transfer application form." Personally, I think you should at least say some polite words in the body of the email, such as hello teacher and so on.
I suggest that there is no need to write too much in the body of the email, but at least write down your name, how many points you got in the exam, which major you applied for, and other basic information. In this way, the enrollment teacher will know your basic situation as soon as he opens the email, think you are suitable, and then read your application form carefully. In addition, the wording of the text should also be polite (generally speaking, this aspect is not bad, few students are impolite in the email, but we should also pay attention. )
(2) It says that the email is too simple, and here it says it is too complicated. Some students basically put their resumes and transfer applications in the body of the email. The body of the email is so long that it is difficult to see the main points. One student even copied a professional introduction from the website of his school: "There are xx professors and xx associate professors in our school …" and wrote it in the body of the email. Some students scan their certificates (CET-4 and CET-6, scholarships, awards for scientific and technological activities, awards for sports activities, transcripts, etc.). ) into pictures, packaged into packages and sent to attachments. The most exaggerated one I have ever seen sent 25 pictures, including his art works (I am responsible for the adjustment of engineering majors), award certificates, transcripts and so on. For a person who has to deal with 100 or even 200 emails a day, how painful it is to pack and download a large attachment, decompress it after downloading, and unpack it for a long time before finding the information you want to read.
In fact, as an admissions teacher, you are most concerned about: your graduation (or study) institutions, majors, institutions, majors and exam results. The latter two mainly depend on whether you have transfer qualifications (transfer requires the same or similar majors, and the scores meet the requirements of national scores or college scores). Generally, I only look at these projects. After reading it, I can accept it, so that I can save the information of the candidates for future consideration. If it's too complicated, I've been tossing around here for a long time, and it turns out that the majors of adjusting candidates are different and similar. That kind of mood is really-you can't afford to hurt the teacher in charge of adjustment!
(3) Some students may be really anxious. After they saw the transfer information, they sent me an email, found the contact information of other teachers through the school website, and then sent the transfer application form to other teachers. As a result, all the emails finally came back to me. Some students sent me an email on the first day, and sent it again the next day, which was still the kind of email text mentioned above. Fortunately, he only sent it twice, otherwise it might be regarded as spam and put it directly into the filtering list.
3. Various details
(1) Some students can't find the transfer application form of our school. What should I do by calling? I usually ask him to make a form himself, or find someone from other institutions to fill it out and send it to me. But here is a detail: you can fill in the application form of other institutions, but can you modify the name of the institution slightly? It's like, obviously this is Northeastern University, and the students in the mail said, "Teacher, I really want to continue studying in your school, please give me a chance." As a result, I opened the attachment entitled "Southeast University 20 1 1 Application Form for Postgraduate Enrollment and Transfer". It makes people collapse ... some students, the name of the transfer institution has changed, but the professional name has not changed. As a result, I watched it for a long time and found that there was no major he wanted to adjust in our school. I had to reply to an email and ask him what happened. Therefore, before sending the transfer application form, please be sure to check the form you filled out to see if it is appropriate. Anxiety is understandable, but details determine success or failure.
Some students are also sloppy when filling out the application form. For example, there is such an item: "the first voluntary school (code)". Candidates are required to fill in the name and code of the institution here. In fact, the code can be filled in or not. However, some students directly filled in "10300" without the name of the school. I looked at it and thought about it for a long time, so I'd better forget it. Can I go back to the manual and find out which school this code corresponds to?
Some students also filled in the scores of all subjects, leaving the total score blank. I still have to calculate his total score with a pen to know if his score is enough.
I also received an email from a student who said, "Teacher, although my family is poor, undergraduate xx University is not a first-class university. But I have xx's ability and confidence in ................................................................................................................................ However, as a teacher of an unknown university, I feel a little blocked when I see such an email. Moreover, this unconfident language will leave a bad impression on the teachers who enroll students.
Of course, there are many, many kinds of problems. What is said here is typical.
Finally, give me some personal suggestions:
1, first of all, keep your mind straight.
Some students may see the adjustment information of related majors, send an application letter and spread the net widely. I don't think this way is desirable. Of course, I'm not saying that I can only contact one person. As an admissions teacher, I definitely hope that students are only interested in my school. However, from the standpoint of candidates, I think there should be a lot of preparation. But multi-party preparation is by no means sending emails everywhere to contact. You should determine 2-3 key schools according to your own ideas, your own majors and your own scores. Only when you have set your goals, will you want to know all aspects of this school, such as public expenses, re-examination subjects and so on. Instead of just sending an email and not hearing from you.
2. Write your email well.
E-mail should be polite and phrased appropriately. It is certainly insincere to write only one or two sentences, and it is meaningless to write too long. 3-5 sentences will do. Make sure that one screen can be displayed, and don't let us who are in charge of enrollment have to scroll to finish it.
First, check the attached application form to ensure that the goods are on the right board. Don't send the application from Southeast University to Northeastern University. Secondly, pay attention to the file name of the application form. I suggest naming it in the format of "application for adjustment of professional status". There are many careful candidates who do this, which is very good. I can save it without modification. Otherwise, I just download the application form for 100 for one day, so the file name will not be repeated, and I don't know who to look for in the future. So basically I will rename every application form in this way, which is also a workload.
3. In addition, one more thing to mention is the format.
Now more and more people are using office2007 and 20 10. Therefore, there are several docx suffixes in the application form. Fortunately, I installed office2007, so it is accessible. However, there is no guarantee that all enrollment teachers' computers are version 07 or above. The current mainstream is still 03. So even if you use a version above 07, it's best to save it as a 97~2003 compatible version, that is, doc format.
E-mail is an auxiliary means, so make more use of telephone contact.
Although I have a headache when I hear the phone now, I still think the phone is a better way to contact than email. You can ask a lot of information about transfer institutions you want to know on the phone and keep abreast of the latest developments. Don't mention it on the phone. Tell me about the problem. Some students ask a question, then don't say what their name is, how many points they got in the exam, and then hang up after asking. How can we win the favor of the admissions teacher? At least say your name. It should also be polite to say hello when connecting and say thank you before hanging up.
