Since I started consulting for so long, I seldom take minutes of meetings. First, I am lazy, and second, I don't have a suitable template, so I take notes occasionally, either verbatim or casually.
Last week, Dr. Lin Tangqi gave a conversation record template of SFBT case in the focus class, and I sorted it out today, and it felt very good.
The minutes of the meeting are divided into eight parts:
The first part is the basic information of the visitor, including the record of name, gender, age and meeting date. Among them, the important thing is other data, draw a family map.
As for the family diagram, I have seen it in my previous study, but I have not drawn it in detail. When I saw it again, I tried to draw a family diagram of some simple cases given online. In the process of painting, it is necessary to find out all kinds of relationships between visitors, both inside and outside the family. After painting, not only have a clearer understanding of the relationship between visitors, but also have a clearer understanding of visitors' own resources. This is very helpful for how to carry out the work.
The second part: The focus of visitors' attention will generally describe their current problems. The source, cause, process, influence on oneself, trouble to life, etc. This is a concern of visitors, so it is necessary for consultants to ask and listen with goodwill and curiosity.
The third part: the shape of the target, including 1. Recommended reason, or 2. The speaker's main complaints, 3. The actual content of the meeting objectives. Tourists come with questions and expectations, but most of the time, they don't know them. Consultation adheres to several elements of the focus goal, which are positive, desirable, concrete and feasible, and is discussed in detail with visitors.
The fourth part: Exceptions, when the problem did not happen, or when it was not so serious, what effective efforts did the visitors make. Although I am in a problem situation, the focus is that how to discuss it like this will show the resources and abilities of the visitors when the problems never happen or are relatively minor.
Part V: Evaluation, 1- 10, and how close each situation is to the target: 1. Changes made before the talks, 2. Willingness to change, 3. Confidence in change, and 4. The method of change, the specific score is evaluated from these dimensions. Negotiation is for change, and change is not only a concrete action, but also an inner desire and confidence in it.
The sixth part: praise feedback, see the advantages, strengths and resources of visitors. After the consultation, the consultant will give feedback to the visitors. The first part of feedback is to praise the visitors, which is not only a summary of the conversation, but also an empowerment for the visitors, and the praise during recording is to strengthen the counselors.
Part VII: Tasks/Suggestions. Focus consultation does not recommend that consultants give specific advice to visitors. The tasks or suggestions here are based on the integration of the contents of the talks and belong to the original life of the visitors. Consultants need to record given tasks/suggestions.
Part VIII: Objectives of the next meeting. Although the goal of the meeting is decided by the visitors, it is the part that the consultant needs to think and refine after the last (several) consultations.
The above contents are made into the template of meeting minutes, which looks much clearer and makes the future consultation records more operable.
