This paper analyzes and summarizes the problems found and encountered in the geological data management and service information system independently developed by Guangdong Provincial Land and Resources Archives, and puts forward corresponding solutions and measures.
Keywords: development of geological data digitization system
In order to meet the requirements of socialized service of geological data, give full play to the role of geological data in national economic construction and improve the level of socialized service of geological data, Guangdong Provincial Land and Resources Archives has made some attempts in the management, provision and utilization of digital geological data, independently developed a geological data management and service information system, managed the collected geological data by using electronic information technology, and provided geological data information services to users in the form of electronic reading. The main functions of this system are: exchange management, catalog retrieval, examination and approval screening, graphic consultation, copying and utilization, data tracking, statistical summary and so on. Now let's discuss the ideas of system development and the solutions to the problems encountered in the process of system development.
1 the basis of system development
The development of this system must be based on the geological data catalog database and the geological data graphic database. As early as 200 1, the Ministry of Land and Resources requested the land and resources departments and collection agencies of all provinces in China to build the geological data catalog database and the geological data graphic database with the Notice on Developing the Geological Data Catalog Database and Digitization (Guo Tu Zi Fa [20065438+0] No.257). In the past ten years, the construction of two reservoirs in different provinces has made different progress. The provinces that have made rapid progress have all completed the construction of two reservoirs, and most provinces have basically completed or will soon complete the construction of two reservoirs. Only a few provinces have not carried out this work for various reasons. Although the construction of the two databases is a work with a large amount of work, a large investment and a long construction period, it is a work that benefits the country and the people and benefits others, and it is a project that benefits future generations. After the completion of the two reservoirs, they played an important role and had far-reaching significance.
2 system development ideas and objectives
The idea of development is to use computer technology to simply, efficiently and intelligently replace the management mode of manual collection, management and use of geological data, provide the workflow of consulting and using geological data, change the traditional operation mode of handwriting, memory and copying in the past, and meet the needs of society with modern technical means. The purpose of development is to realize the digital management and utilization of geological data, improve the management and service level of geological data, reduce the labor intensity of managers, facilitate users' access, improve the utilization rate of geological data, add a layer to the clustering service of land and resources information, and protect paper data.
3 several problems that should be paid attention to in system development
(1) At the end of 2002 and the end of 2009, the Guangdong Provincial Land and Resources Archives completed the construction of the geological data catalog database and the geological data graphic database. On the basis of establishing two geological data databases, how to manage these massive digital achievements is something we must consider in our internal work. Because data storage is limited and influenced by storage media, equipment failure, storage environment and other factors, especially data materials are more vulnerable to computer viruses and hackers. The construction of two databases of geological data has spent a lot of manpower, financial resources and time. If it is destroyed or lost, the loss caused is incalculable. Therefore, as an acquisition organization, the first thing to consider is how to ensure the safety of data results. At present, the best way is to make multiple sets of backups of various media in various forms to prevent problems before they happen. The method adopted by Guangdong Provincial Land and Resources Archives is to store a set of disk array (using library), a set of tape library backup and a set of CD burning backup (storing in different places). In addition, there must be a special person responsible for maintaining and managing these databases, and at the same time, do a good job of updating and backing up the newly submitted data every year.
(2) Because the collections of most provinces have more or less some information exchanged between provinces and a small amount of information that is of little value and does not need to be digitized, there are more or less blank figures without data for various reasons. Therefore, a problem of numbering electronic documents is put forward, that is, reordering all electronic documents. Or number it on the basis of the original file number? Both methods have advantages and disadvantages. The method of reordering numbering is to separate all electronic documents from the numbering organization of the original collection materials and reassemble them into a whole, so that the whole electronic document library becomes continuous in document numbering and materials. The disadvantage is that the electronic contribution number does not correspond to the original contribution number, and it is easy to doubt whether two different contribution numbers are the same document, and the same problem will occur in the catalogue database. The numbering method based on the original contribution number (for example, the original paper contribution number is 8972, and the electronic contribution number is DZ008972) is a one-to-one correspondence method between the paper contribution number and the electronic contribution number, which can clearly know which documents in the collection have been digitized and which have not, and can also provide a basis for filling the original blank number with new paper and electronic documents and destroying the useless documents. The disadvantage is that the number of electronic documents in the graphic database is discontinuous. According to the situation that there are many empty numbers in our library, our library adopts the latter numbering method.
(3) After the completion of the two databases, how to make good use of the digitized results of the two databases in the society is the task of each geological data collection institution. Establishing an electronic reading room is the best way to achieve this goal, and how to become a browsing tool that users want to use and love is the primary consideration of system developers. When developing software, we should fully consider the situation of various users, simplify the use method as much as possible, and reduce the operation steps of users on the computer. For example, we can establish a database of users who often consult and use information or users who have handled secret certificates in advance. When the user submits an application to fill in the user information on the computer, click the name of his company or the secret number of his company in the drop-down menu to complete the user information at one time; The scanning of related documents submitted by users is completed by administrators, and users do not need to do it themselves; After submitting the application, the user only needs to enter the account number and password in the "Access List" printed by the administrator into the computer to access the information. ② The screen page should be designed elegantly, methodically, clearly and easily understood, and the font setting should be larger than that of ordinary web pages. ③ The speed and optimal display of screen page browsing should be fully considered, especially when browsing large-format drawings, it is best to set the browsing software to the default state of "automatically resizing images" (for example, when using ACDSee, click the check boxes of "Tools → Options → View Window → Automatically resizing images" in the toolbar and tick "√") to improve the refresh rate, and the refresh rate should be controlled at. (4) To configure a suitable display screen size, too large or too small will cause poor browsing effect, too large will cause slow page refresh, and too small will cause unclear display content.
(4) How to solve the problem that multiple materials coexist in one file to provide access. Due to historical reasons, the organization standards of geological data in different periods are not uniform, and some of them are divided into very fine files, one for each data group; Some files are very rough, and various data are combined into one file (for example, one file contains: geology, minerals, special mines, hydraulic environment data, etc. ). In order to facilitate the management of data provision and utilization, and meet the user's requirement to specify access to a certain part of data, we have a screening and shielding function in the system approval module, which can determine the user's qualification, authority and scope of accessing data according to the user's confidential certificate, ID card, letter of introduction, task book and other documents, and then filter or delete the applied data. The screening process is mainly to screen or delete data that the applicant has no right to access or does not need to access. The system can screen text data into chapters. This function is also useful for confidential information management.
(5) The problem of slow browsing speed in large format. Eps diagram In the format requirements of electronic documents of geological data, the remitter is explicitly allowed to submit archived electronic documents. Eps format. Because we haven't found a better browsing software. At present, GSview software is still used in eps file system. In use, it is found that browsing small pictures is normal, but browsing large pictures is particularly slow and cannot be browsed normally. In view of this situation, we have adopted two methods: ① preservation. Eps image that has been submitted to the warehouse in Photoshop and converted into. Eps format is converted into. JPG format. Although this method wastes some time, it is worthwhile compared with the display speed. (2) require the remitter to exchange. Eps format is converted into. JPG format of newly exported data. If the remitter does not agree to the conversion, the staff in charge of receiving materials in our library will complete the format conversion to avoid subsequent problems. Figure 1 is the flow chart for users to use the system.

4 system defects
According to the existing conditions of our library, the development of this system pays attention to practicality. After a short period of use, it basically meets the demand design, but there are still many shortcomings. In the copy and utilization module, only the CD burning function is realized, but the printing function is lacking. In addition, when browsing the scanned data, although the problem of inserting pages in the data is solved, the effect is not the optimal method, and browsing is not achieved overnight.
5 concluding remarks
It is the general trend to provide digital geological data service to the society, so many brother provincial and municipal libraries are now developing their own digital geological data service systems. Although they are also engaged in the management and service of geological data, after all, different provinces have different situations, different funds, and different work scopes and contents, so the management systems developed have different emphases. Although many provinces have developed many good geological data digital service systems, they all have their own advantages and disadvantages. Therefore, it is suggested that the National Geological Archives should take the lead, organize a strong technical development team and develop a series of concise national geological data management and service systems, which can collect, manage and use statistical data and standardize the national geological data management under a unified standard.
