If in an email, we can't clearly answer the customer's questions, and the communication can't be efficient, it will make the guests have opinions on the professional level of the salesman, thus causing the delay or loss of business opportunities and so on.
This requires us to be concise and efficient when writing emails. Before replying, we should make a survey of the customer's background. Investigation method can analyze customers through customs data and judge the authenticity of customers.
Let's take a look at the cases that my friends shared with me.
Customer consultation:
Hi, Simon, we are looking for the following two projects. Can you do it? If yes, please quote us and let us know the delivery time of samples and mass production. Picture1&; Picture 2 (picture sent by the customer, here replaced by text)
Friend reply:
Hi, Jim
Thank you for your reply.
Attached is our quotation for your reference.
Please check our reply:
1. We can do the following two projects, but please help me confirm the information:
(1) Regarding the first item, the information you gave me was a pair of pictures, right?
(2) We can also make another kind of black transparent glass (I will send you picture 2), but we need the specific information of picture 2.
Attached are our products, such as picture 2, for your review.
We will complete the sample within 30 days after receiving the deposit.
Regarding mass production, please trust our supply capacity. We can order 8,000 doors and windows and 20,000 square meters per month.
Please feel free to contact me if you have any questions.
We should learn to analyze customers' inquiries when replying to them. Let's take a look at the questions raised by customers:
1. The customer asked if we could produce the following two products.
If we can do this, we need a quotation.
3. Delivery cycle of samples and bulk goods
Judging from my friend's reply email above, the email answered the first question and raised my own questions about the product.
The second question, he made a quotation for the product and replied to the guests.
I have a question here: in the reply to the first question, he has questions about the product. What is the basis of his quotation?
If you don't know the product details that customers need to quote, I suggest that you can wait until you ask clearly before quoting, so that the quotation will be accurate.
The third question, he only answered the sample delivery cycle. There is no answer to the question of batch product delivery. Although he described the production capacity of his company, he didn't give the customers the answers they wanted.
We can answer this question like this:
Hi, Jim
Thank you for your inquiry.
We can produce these two products according to your requirements. The quotation will be sent to you as soon as possible.
2. Delivery date of samples: 30 days after receiving the deposit.
3. Delivery cycle for mass production: order for another 45 days, and order for the first time for 60 days after receiving the deposit.
We are full of confidence in our company's production capacity of 8,000 doors and 20,000 square windows per month.
But we have the following questions before quoting, please confirm:
(a) Is the attached figure 1 the same as the first item?
(b) Can you send us the details of the black transparent glass (Figure 2)?
We look forward to your early reply so that we can make an offer as soon as possible.
Please feel free to contact us with any questions.
send one's regards to
Finally:
I suggest you look at 1-2 times from the customer's point of view after writing the email. On the one hand, check whether there are any mistakes in grammar or content. On the other hand, it depends on whether all the details are answered clearly to avoid omission.
To write English emails well, we need to have good English reading ability, understand the meaning expressed by customers, and also have good writing ability to communicate well with customers.
I hope everyone can develop more customers.
